Position: Executive Assistant

Job Location: Mumbai

Experience Required: 4-5 years


  • Coordinate and manage executive calendars, including scheduling meetings, appointments, and conference calls.
  • Prioritize and schedule appointments based on the executive’s priorities and commitments.
  • Arrange travel logistics including flights, accommodations, transportation, and itineraries for business trips.
  • Ensure travel plans align with the executive’s schedule and preferences.
  • Act as the primary point of contact for internal and external communications, including screening and prioritizing phone calls, emails, and correspondence.
  • Draft and prepare correspondence, memos, reports, and presentations on behalf of the executive.
  • Coordinate logistics for meetings, including room reservations, catering, and technology setup.
  • Attend meetings as necessary, take accurate minutes, and distribute meeting notes and action items.
  • Maintain organized filing systems, both physical and electronic, for documents, records, and contacts.
  • Ensure timely retrieval of information and documents as needed.
  • Assist with expense reporting, invoice processing, and other financial tasks as required.
  • Support executives in various projects by conducting research, gathering data, and preparing reports.
  • Coordinate project timelines and deliverables to ensure timely completion.
  • Handle confidential information with the utmost discretion and professionalism.
  • Maintain confidentiality in all interactions and communications.

Skills Required

  • Proven experience as an executive assistant or similar administrative role, preferably supporting senior executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Excellent organizational and time management skills with the ability to prioritize tasks.
  • Strong written and verbal communication skills.
  • Attention to detail and high level of accuracy.
  • Ability to work independently with minimal supervision.
  • Discretion and confidentiality in handling sensitive information.
  • Adaptability and flexibility to meet changing priorities and deadlines.
  • Professional demeanor and interpersonal skills.

Qualification: Bachelor’s degree preferred, or equivalent work experience.
