Position: Executive Assistant
Job Location: Mumbai
Experience Required: 4-5 years
Responsibilities
- Coordinate and manage executive calendars, including scheduling meetings, appointments, and conference calls.
- Prioritize and schedule appointments based on the executive’s priorities and commitments.
- Arrange travel logistics including flights, accommodations, transportation, and itineraries for business trips.
- Ensure travel plans align with the executive’s schedule and preferences.
- Act as the primary point of contact for internal and external communications, including screening and prioritizing phone calls, emails, and correspondence.
- Draft and prepare correspondence, memos, reports, and presentations on behalf of the executive.
- Coordinate logistics for meetings, including room reservations, catering, and technology setup.
- Attend meetings as necessary, take accurate minutes, and distribute meeting notes and action items.
- Maintain organized filing systems, both physical and electronic, for documents, records, and contacts.
- Ensure timely retrieval of information and documents as needed.
- Assist with expense reporting, invoice processing, and other financial tasks as required.
- Support executives in various projects by conducting research, gathering data, and preparing reports.
- Coordinate project timelines and deliverables to ensure timely completion.
- Handle confidential information with the utmost discretion and professionalism.
- Maintain confidentiality in all interactions and communications.
Skills Required
- Proven experience as an executive assistant or similar administrative role, preferably supporting senior executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Excellent organizational and time management skills with the ability to prioritize tasks.
- Strong written and verbal communication skills.
- Attention to detail and high level of accuracy.
- Ability to work independently with minimal supervision.
- Discretion and confidentiality in handling sensitive information.
- Adaptability and flexibility to meet changing priorities and deadlines.
- Professional demeanor and interpersonal skills.
Qualification: Bachelor’s degree preferred, or equivalent work experience.
